Submitting Files

Introduction

Regardless how you submit your file, you should receive an email confirmation within a few minutes of submitting your file. If you do not receive your confirmation, you should immediately (i) check your spam folder, and (ii) log in to your account to confirm that we have received your file. If you do not see your audio file when you log in, you should contact us immediately.

Use Quicktate for files shorter than 5 minutes. Use iDictate for files 5 minutes or longer. https://idictate.com


Acceptable File Types

You may submit the following audio types: • AAC • AIF • AIFF • AMR • AVI • M4A • MP3 • MP4 • WAV • WMA • WMV

  1. Uploading Files Using Your Computer
    1. Depending on the size of your files, you may be able to upload one or more files at one time.
    2. To upload files, you must log in to your account and select "Upload Files".
  2. Submitting Files from your Quicktate App or other Favorite App
    (send files to transcribe@quicktate.com)
    1. Make sure you first enter (in Section 3 of Profile) the email address(es) you will send your files from. That way we will accept your email. If you don’t fill out Section 3, we will not receive your files.
    2. Remember that files larger than 25MB cannot be emailed; You will need to upload them directly to your account.
    3. When emailing a file to Quicktate, you cannot include any written instructions, as the emails are not seen by a human person.
    4. You will receive an email confirmation if you submitted a valid audio file and your email "sent from" address is registered in your Quicktate profile.
    5. You will receive an email alert if you did not send a valid audio file provided your email address is registered in your profile.
    6. You will not receive any reply if your email "sent from" address is not registered in Section 3 of your Quicktate profile.
    7. You will not receive a reply if your email was too large and couldn’t be sent to Quicktate. Large files should be uploaded directly to Quicktate.
  3. Submitting Files via Email

    2. When emailing a link to Quicktate, you cannot include any written instructions, as the emails are not seen by a human person.
    3. You may email the following audio links:
      • SoundCloud - Copy the link from your browser's address bar and email to Quicktate.
      • Dropbox ​- Drop file into the Public folder; Right-click/control-click this file, then choose Dropbox > Copy Public Link. Paste into email to Quicktate.
      • Google Voice
      • Google
      • If your link is from another service, you will need to first download the file to your computer and then send the actual audio file to Quicktate.
    4. You will receive an email confirmation if you submitted a valid link provided your email "sent from" address is registered in your Quicktate profile.
    5. You will receive an email alert if you did not send a valid audio link, and your email address is registered in your profile.
    6. You will not receive any reply if your email "sent from" address is not registered in Section 3 of your Quicktate profile.
  5. Integrate your Quicktate account with Evernote To Get Your Audio Files Transcribed
    The following audio formats are compatible with Quicktate and Evernote:
    1. AAC
    2. AIF
    3. AIFF
    4. AMR
    5. MP3
    6. WAV
    Setup
    1. Log in to your Quicktate account
    2. Go to your Profile page
    3. Click "Enable Evernote Delivery"
    4. Enter your Evernote Username and Password
    Using the Service
    The following audio files will be automatically and immediately delivered from Evernote to Quicktate to be transcribed:
    1. Audio Notes with "Quicktate" in the name; or
    2. Audio Notes tagged "Quicktate"
    1. Audio Notes may be recorded in Evernote or may be recorded outside of Evernote and then delivered to Evernote via email or via another app.
    2. If you email your audio to Evernote, you may add quicktate to the subject line so that the file is sent to Quicktate for transcription.
    3. Once an Audio Note is delivered from Evernote to Quicktate, it will not be possible to cancel the transcription.
    4. Completed transcripts are automatically:
      1. Sent to Evernote and saved in the same Note alongside the audio file; and
      2. Saved in your Quicktate account; and
      3. Emailed to you.
    5. If you have multiple audios in a single Evernote Note, only the first audio will be sent to Quicktate for transcription.
    6. If you move an audio file from one Evernote Note to another Note, it will be transcribed again if Quicktate is in the name of the Note or if the Note is tagged Quicktate.
    7. If you rename an existing Evernote Note containing an audio file, it will be transcribed again if Quicktate is in the name of the Note or if the Note is tagged Quicktate.
    8. Do not rename an existing Evernote Note containing an audio file until you have received the transcript - otherwise it may be sent for transcription again.
